Receive and file monthly reports from Esplanade Security.
Submit applications for building access cards for new employees.
Assist with maintaining current listing of all access cards.
Return terminated employee cards to Security.
Program and Assist with maintaining security access within in-suite system for Suite access.
Review monthly invoice and compare with Lobby validation log.
Break down cost from invoice according to department and notify department of monthly costs.
Submit applications for parking badges.
Return terminated parking badges to Parking
Assist with maintaining all air conditioning adjustment requests.
Assist with maintaining janitorial needs for suite.
Assist with maintaining any repairs and issues. Keep log of requests to compare with invoice.
Negotiate new Vendor contracts.
Assist with maintaining current listing of all contracts and their due dates.
Review and approve monthly corporate invoices/billing.
Assist in monitoring overall corporate expenses including Federal Express charges, office supplies, etc. to ensure proper usage and coding for bill payment
Assist with maintaining office equipment contracts.
Assist with maintaining maintenance log on all copy/print machines.
Arrange for any maintenance required. Send out notices when equipment is down and when back to operational.
Run reports monthly on office equipment and distribute as needed.
Assist with maintaining Accounting codes on machines
Assist with maintaining stock items such as coffee, coffee supplies, soda, and water.
Assist with maintaining cleaning stock items.
Manage end of day cleaning in the Lobby and reception area.
Company wide cost savings projects.
Set up and Assist with maintaining inventory lists for Work Galley and Mail Room.
Review inventory on a weekly basis. Re-order based upon set re-order threshold.
Contact Lists Update and distribute corporate contact extension list.
Employee Recognition Coordinate events for employee recognition. May include but not limited to potlucks, off-site events.
Front Office Manual Assist with maintaining procedures manual for front desk including: Office Assist with Assist with maintaining procedures and Receptionist procedures.
Iron Mountain Serve as backup for Iron Mountain administration.
